Leave requests and approvals

From request to approval, every step on record

Your employees request full or half-day leave in a few steps; İzin360 works out the duration and checks the rules before the request is sent. Approvers see the warnings before they decide, and the full history is kept.

  • Full day, morning or afternoon
  • Balance and overlap checks as you request
  • Delegation, escalation and bulk approval

Leave requests in a few steps

The employee picks a leave type and dates; the duration is calculated without weekly rest days and public holidays. The remaining balance after the request is shown before it is sent.

  • Full day, morning only or afternoon only; multi-day leave can start in the afternoon and end at midday
  • Event-based leave such as marriage, bereavement and paternity records the event date; paternity leave length follows the birth date
  • Documents such as a medical report or invitation are attached; every file is virus-scanned and stored encrypted
  • Requests can be saved as drafts and submitted later

Rules checked before sending

If the balance is not enough, the request cannot be sent (unless advance leave is enabled). Other issues appear as warnings, and approvers see the same warnings.

  • The employee's other requests on the same dates
  • A warning when the share of the team on leave on the same days exceeds the threshold
  • The rule that one part of annual leave must be at least 10 consecutive days (Labour Law art. 56)
  • Leave types that require a document cannot be submitted without one

Withdrawal, cancellation and HR entry

Plans change; the balance stays correct either way. HR can enter leave on an employee's behalf or in bulk when needed.

  • A request awaiting a decision can be withdrawn; approved leave is cancelled with a reason and the days return to the balance
  • Cancelling leave that has already started requires HR approval
  • HR files requests on an employee's behalf, including past dates for cases such as sick notes
  • Full-day bulk leave for one department or the whole company, approved automatically

Approvals don't get stuck

By default, a request goes to the employee's line manager. If it is not answered in time, the approver is reminded; in sequential workflows the request moves on to the next approval step. The default is 5 working days.

  • Approvers going on leave hand their approvals to a substitute for a set date range
  • Approve several requests at once, or reject them with a shared reason
  • The rejection reason is sent to the employee; the request history shows who decided, when and with what note
  • In-app and email notifications, with an optional daily email digest

Workflows and leave types that fit your company

Statutory leave types are built in and cannot be restricted by company policy. On top of these, you define your own approval workflows and company-specific leave types.

  • Single-approver, sequential, parallel, “any one approves”, or line manager first and then HR; a step can target a specific role (such as HR specialist)
  • Attach workflows per leave type to location, department or team policies
  • Set the escalation period anywhere from 1 to 30 working days
  • Notice periods, day limits, pay and document rules for company leave types such as a birthday day off

How it works

  1. 1

    The employee submits a request

They choose a leave type and dates and attach a document if needed. They see the duration, the balance afterwards and any warnings before sending.

  2. 2

    The approver decides

The request arrives in the approvals inbox together with its warnings. The approver approves with an optional note or rejects with a reason.

  3. 3

    Balance and calendar update

Approved leave is deducted from the balance and appears on the team calendar. The employee is told the outcome in the app and by email.

Frequently asked questions

Can employees take half a day off?

Yes. For a single day, they can choose the morning only or the afternoon only; multi-day leave can start in the afternoon of the first day and end at midday on the last. A half day is deducted from the balance as 0.5 days.

What happens to the balance if approved leave is cancelled?

Employees can cancel approved leave by giving a reason; cancelling leave that has already started requires HR approval. The cancelled days return to the balance and appear in the ledger. Requests still awaiting a decision can simply be withdrawn.

What happens to pending requests while a manager is away?

Before going on leave, the manager can appoint a substitute; while the delegation is active, approval steps go to the substitute. If a request is not answered in time, the approver is reminded; in sequential workflows it moves on to the next approval step. The default is 5 working days.

Can HR enter leave on an employee's behalf?

Yes. HR can create requests on an employee's behalf, including past dates for cases such as sick notes. HR can also enter full-day bulk leave on the same dates for a department or the whole company; bulk entries are approved automatically.

Can we set up more than one approval step?

On plans that include approval workflows, you can build sequential, parallel, “any one approves” or line-manager-then-HR workflows and attach them to locations, departments or teams through policies. In the default workflow the line manager approves; for leave types that need HR approval, the HR manager approves next.
